Duties of the Examination Committee at the College of Veterinary Medicine / University of Mosul

Implementing the instructions, regulations, and directives issued by the Ministry, the University, and the College Council regarding examinations, examination records, and student results.

Establishing internal instructions for organizing examinations within the college and announcing them to the departments and students.

Organizing the examination and invigilation schedules in coordination with the scientific departments and announcing them to the students.

Preparing all the requirements for conducting exams, including examination halls, exam booklets, a secure safe for storing questions, booklets, and records, necessary computers and accessories, photocopy machines, question paper stock, assigning invigilators, distributing students across exam halls, and organizing daily attendance sheets for students and invigilators.

Receiving three sealed versions of final exam questions signed by the instructor and the department head, storing them securely, and documenting them in a dedicated record. One version is selected for each exam session.

Printing the selected exam questions for both the first and second sessions according to the number of students and placing them in envelopes assigned for each examination hall.

Ensuring the confidentiality of exam questions.

Delivering the printed exam questions and booklets to the exam hall supervisors according to the exam schedule, with delivery confirmed exclusively by the hall supervisor or an authorized delegate.

Collecting used, unused, and damaged exam booklets from hall supervisors after each exam, along with student attendance and absenteeism forms.

Monitoring the examination process, addressing any emerging issues promptly, and preparing the necessary reports, including a unified final report on exam progress to be submitted to the relevant departments in the Ministry through the University Presidency.

Submitting a daily list of students absent from final exams to the college registration office to issue an administrative order accordingly.

Preparing a report on student results for both first and second sessions (including success rates) and submitting it to the College Council for review and recommendations.

Implementing Ministry and University directives regarding the awarding of “decision grades” as stipulated for handling student cases.

Announcing student results after approval by the College Council according to examination regulations and providing students with printed, signed copies of their results.

Receiving student objections to their results for both exam sessions within the specified period (3 days from the announcement date), reviewing them, and announcing the outcomes.

Recording the final student results in the official record book.

For graduating students, calculating the average for each academic year and its weight in the final average, then computing the student’s cumulative final GPA.
